Childcare centers reporting — frequently asked questions

What Power BI reports does a multi-site childcare operator need?

The core set covers the business end to end: fill rate and open-seat capacity (are our licensed seats filled), a tour-to-enroll funnel and waitlist demand (are we converting and where do we expand), tuition collection and subsidy reconciliation (are we collecting what we bill), staff-to-child ratio compliance and labor cost (are we compliant and is labor a controlled share of tuition), and family retention plus a multi-site executive scorecard (are families staying, and how does every center compare). Each is available here as a template you can clone.

Do these work with Procare, Brightwheel, or LineLeader data?

Yes. You export your data from whatever platform you run — Procare Solutions, Brightwheel, LineLeader, Kangarootime, Famly, HiMama/Lillio, or Sandbox — and the template models it into a Power BI report. The samples here use synthetic data so you can see the finished shape before bringing your own export.

Is any real family, child, or payment data used in these templates?

No. Every report on these pages is built from realistic but entirely synthetic data — anonymized center names (Center 01, Center 02, …), generic age groups, and made-up tuition figures. There is no PII and no real financial records. When you build your own version, you bring your own export.

How do I turn one of these into my own report?

Click 'Use this as a template' on any report. You'll describe the report (or upload your own CSV export from Procare, Brightwheel, or your CRM), we read and model the data, and you get a fully built Power BI project — a .pbip you open in Power BI Desktop — back in minutes.
