What this dashboard answers

What share of our classroom timeblocks met the required ratio, and which centers fall out of compliance? Where do the out-of-ratio blocks cluster — which age groups, and crucially, which times of day? The compliance page shows the compliance rate, out-of-ratio block count, and required-vs-present staff by age group, ranked by site. The detail page concentrates on time of day (Open / Midday / Close), matrixes compliant and out-of-ratio blocks by site and age group, and heat-maps where the gaps live.

The metrics that matter

Ratio compliance rate is the headline, but it can hide a serious problem if violations cluster: 95% compliant overall still means real exposure if every gap is at one center's close. Out-of-ratio blocks is the count that matters for licensing — each one is a moment a teacher was responsible for too many children. Staffing coverage rate shows how close present staffing runs to the minimum; a center hovering right at 1.0 has no slack for a teacher calling out. Reading by time of day is essential because open and close are where the shortfalls concentrate.

Why the data is trapped

Attendance check-in/out (children) and staff clock data live in Brightwheel, Procare, or HiMama/Lillio, but the systems track them separately and per-center. Computing the required ratio for each room at each point of the day from children present, comparing it to staff present, and rolling the violations up across sites by time of day is a calculation no built-in report performs. So compliance gets verified by walking the floor and hoping — the cross-tab that would catch the open-and-close gaps stays buried.

How to read it

Don't stop at the overall compliance rate — go straight to the time-of-day view, because clustered close-time gaps are both the most common and the most citable. Use the site-by-age-group matrix to find which rooms drive the violations, then read coverage rate to see whether a center is chronically thin or just occasionally short. An infant room out of ratio is the highest-priority fix given the tight 1:4 standard. The sample uses fully synthetic, anonymized timeblock data — no real staff or child records.
